3. Center for IT Project Research at ITU, a short briefing (Jens Schmidt, 20 min.)
Lone has tried to make sure that the Digital Design Department is getting a role in the initiative. Jens and Lone have talked, and it turns out that what Jens is doing is something completely different from what Lone thought. Now Jens will tell about the center, it is actually the first time the ministry have funded a center/project.

Jens Schmidt:
What happens with the government IT project that fails? 1 out of 3 major IT-project is cancelled. The center looks into what can be done better/differently in these IT-projects. The money could be spend better, e.g. in welfare.

The Ministry of Finance is sponsoring this – but it is not contracted research. There is no difference between this funding and other public or private funding of research. Shared finance between ITU and the ministry of finance (fifty/fifty). It is a study of different projects in both the public and private sector (including maintenance and operation periods).

Comments/questions:
Lone: How could you see that the competences we have in DD could tap in – if anything?
Jens: I do not know what is going on outside my own domain. I want to create a forum to discuss these things.
Lone: Sundhed.dk – they cannot keep their promises, so it is about blood. User cultures are different in DK and other countries.
Jens: I agree, there are many cases, but we have to be aware of, when people says government the mean “staten”.
Lone: Borger.dk, skat.dk etc. We have colleagues in the games center who is making gamification research – how do you learn people about the new systems. Gamification could be a way to teach people the new systems.
Jens: It is important to remember that this center do not own the agenda. However, maybe this can open doors to more research/centers.
Gitte: we have an ambition to be inclusive. How can you look at the systems without looking at the users?
Jens: There are many ways at looking at systems. We look at them as small lifecycles – we are focused on one thing. Not to say it is not inclusive.
Lone: How do you see your center I relation to the research areas in the frame contract.
Jens: I am trying to solve this problem – not ITU’s problems.
Torill: Where does the process stop?
Jens: Since we know how to run projects (from an academic point of view) and things are still going wrong, maybe we should look at it from another perspective.
Lone: I suggest that Jens makes an open invitation to Digital Design to give input.
Jens: Sure. The steering committee will have something more specific, and will keep DD updated.

4. APV/Workplace assessment (Lone, 15 min)

Lone wants to do the follow-up process better this time, than the last. The issues have already been addressed in December, so we do not start from scratch. A group will be established to discuss main issues and suggest actions to address these issues. Christina Neumayer will lead the group. The group will work and Lone will be included later on.

In the overall evaluation, ITU does slightly better than the other universities. That is good – but we can do better.

Comments:
Torill comments that the questions should be formulated different (or specified more) in order to make the assessment useful. It is important that we do not do things now just because of the score in the workplace assessment. E.g. the question if the department have clear goals – this can be interpreted very differently.

Lone: That is why we need to have a group who works with this.
  • Orientation about DD assessment, general + low scores (minus Games Research Center)

Please, see Lone's slides presenting the issues under the threshold (3.5).

We have 8 members of the department who have experienced bullying and 1 member of the department who has experienced unwanted sexual attention. The stress score is also low (it is lower at ITU than the other danish universities).

The Association of Danish Students and the Danish Universities are working with unwanted sexual attention amongst students. At ITU, we will now formulate how to deal with this as employees here at ITU. You can always go to Christina (work environment representative) but we need more options to go to when dealing with such delicate matter.

Christina: The idea is that you go to someone who is not part of the management.

Lone: I suggested Mads that work environment representatives are taking into account in working whit this focus area.

Ideas to minimize stress:
- Only to teach in one semester, and not the next. (we already have this)
- Spend research time outside ITU (the rules regarding this should be changed).

The executive management is very concerned about this, and will work with this.
  • How to proceed? Identify 5 faculty members to discuss main issues and suggest actions to address these issues, including Christina Neumayer who will lead the group

Louise Barkhus, Rune Kristian Lundedal Nielsen & Hans-Joachim Backe volunteer to take part in the group. Christina will send out an email pleading for members of this group – also focusing on gender, seniority etc.

  • Week 11: Action plan for all questions scoring below 3.5 ready
  • Week 25: Follow-up

5. Kildegaard DD seminar 6-7 June (Lone 10, min)
  • Sign up for rooms NOW. Share if possible to fit in as many as possible. We have to know how many rooms to rent at the Højskole asap.

Lea offers to bring her camper.
Select a planning team of 4 people who will put together a program for the seminar (last year: Signe, Luca, Christina, Rune)

Sanna and Toril volunteers. Lone will try to find the last to members.
